Why reply speed decides

A customer filling in a form often contacts several businesses at once. Whoever replies first and specifically has the best chance of winning the job. Automation shortens the time from enquiry to reply.

How to make sure no enquiry gets lost

Store every enquiry in two places: e-mail plus a log or backup file. Protect the form against spam without blocking real people, and test it regularly.

The most expensive enquiry is the one you never knew about. It happens more often than you would expect: the e-mail lands in spam, the inbox is full, the form stops sending after a website update.

  • Double logging: e-mail plus a backup in a log or a file on the server.
  • Backup alert through another channel in case the main inbox fails.
  • Spam protection without annoying image tests, for example a hidden field and a time check.
  • Regular test: send a test enquiry now and then and check that it arrived.

How to tell whether automation helps

Track the time from enquiry to first reply, the number of enquiries per month, how many turn into jobs and how much time a week you spend on enquiry admin.

Automation only makes sense if it makes a measurable difference. Before launching, write down how things look today and compare after a month:

  • Conversion: how many enquiries become jobs.

Not unless you want it to. Only the confirmation of receipt goes out automatically. The actual reply is drafted by AI and you review it.

Do I need a CRM for this?

No. A spreadsheet or simple log is enough to start. A CRM pays off when enquiries grow and you want to track the status of each one.

Can this be connected to my existing website?

Usually yes. The form is adjusted to send the enquiry to a log as well as by e-mail and to trigger the next steps.

Is it GDPR-compliant?
